O365: Overview & FAQ

Office 365 is available to all staff and students for free. It allows you to download Office 2016, access Office Online web apps, and store files in the cloud.

Office 365 (O365) provides access to Office Online, where:

  1. Staff and students can use online Web App versions of the Microsoft suite
  2. Staff and students can download the full Office 2016 application onto five personal PCs, Macs, or smartphones for free! (No need to load it onto your District-device… it comes standard when you receive it.)

Accessing O365:

  1. In a web browser navigate to the MSBSD website > Employee Quick Links > Office365 or microsoftonline
  2. Sign-in with a “Work or School” account. The username is your network username+@ad.matsuk12.us and your password is your network password.
  3. From the O365 Dashboard, you can install Office 2016. Access Office Online Web Apps by clicking the tile or click the Menu button in the top left-hand corner and select an App from there.

Q & A:

  • Is the download that is available for home computers a “full” version of Office 2016 or just the apps?
A full download is available once you login to Office 365.  You’ll see a section similar to the screen shot below identifying that you can install Office 2016 on your PC.

  • If it is a full version, is it on a subscription basis? Does the license expire?
This license is available to you as long as you are a district employee or student.  Once your district account is inactivated you will not be able to access your files.  If an employee leaves the district or a student graduates, they need to be sure to transfer all their OneDrive files to a personal account before doing so.
  • If I install on my student’s laptop, and he leaves for college, will he still be able to use the Office installed? Or is his access tied only to the ability to log in to his MSBSD student account? Will that account be deleted when he graduates?
Your employee account will allow you to install Office on up to 5 computers.  He would be able to use Office, but not the Office 365 portion with OneDrive Storage.  It is recommended that he check with the college he is attending and use his own account for Office 365.  Depending on the college he is attending, they are more than likely to have Office 365 as well.  UAA has this available for students as do many other colleges.
  • Is the OneDrive storage only for “work” or “school” files? How much room do we get? Does that storage go away when you leave the district (graduate or retire) and if so, do you get a reminder to move all your stored items?
You have 1TB of storage available for storage of your files.  As noted above, this storage is linked to your work/school account and when that relationship ends, access to your account ends as well.  What you want to do before that happens is create a personal OneDrive Account, or Subscribe to Office 365 Personal and transfer your personal files over to that new account.
  • I just followed the directions to look at Office365. When I am logged into the Office365 main page, there are no active menus….is that because I am on a computer that already has Office 2015 installed?
When you login you may see some a screen similar to the one below.  Please note you will not necessarily have access to the same “Apps” shown below.  You can click the menu icon, referred to as the “Waffle” in the upper left corner to see which apps you have access to.
