Weeding & Discarding Process

Overview:

This document will assist you in the Weeding & Discarding process.
 

Instructions:

  1. Weeding by date: Look at the Follett Collection Analysis for your library.  You can export Excel reports to help you decide what to weed.  We are usually looking for outdated items to weed. 
     
  2. Weeding by usage:  Submit a request for a weeding report using the District IT Service Request system. Include the following info:
    1. Your name
    2. Your library code MSBSD-XXX
    3. Home location (do one location at a time)
    4. Criteria for date limits. For example: FICTION not checked out before 2010.  
       
  3. Pulling the books:  Once you have a list to work from you can start pulling the books, but you will still need to make some decisions based on the title and your school, or collection.
     
  4. Scanning to DISCARD:  Place all books on a cart and scan each book/item using the CHECKOUT wizard and the user MSBSDDISCARD.
     
  5. Mark out all references to your school library… stamps and library name on barcode.  Don’t need to cross out barcode as another library can use it. 
     
  6. Stamp DISCARD: Most libraries have a discard stamp. This helps identify the book as a discard if it ends up back in the library. 
     
  7. Teacher Selection: Teachers usually get first pick from discards to keep for their CLASSROOM. This is not an opportunity for them to select personal items. 
     
  8. School Book Sales or Giveaways:  Schools CAN have a book sale charging a nominal fee (EX. $1, .50. .25) or giveaway to FAMILIES.  Teachers CANNOT participate in the book sale. 
     
  9. To create a list of items:  Since this method of DISCARD puts all discards from all libraries in one list there is no easy way to run a report by library.  You can create your own list by taking screen shots of the list and paste into a Word doc as you discard them.  Other options will be explored.
    1. Share with other schools:  Once you have exhausted giveaways at your school you can send your list out to District libraries. Other libraries may still want your discards!
    2. Have your admin secretary send out to all admin secretaries.  There are schools who do not have librarians on the MSD library list, like charter schools, alt schools, remote schools that love to get books too. 
       
  10. Send to Warehouse:
    1. TRY to sort your books and label boxes so the contents are clear.  (easy A-F; Fiction G-M, or Non-fiction 000-300… whatever it is.)
