Student Support Services wants to give a HUGE SHOUT OUT to everyone working in Synergy SE! Teams are con-ducting evaluations, holding meetings, writing IEPs, and FINALIZING process-es in a timely manner. Great job keep-ing the gears moving and not letting your paperwork stack up! Need to know what the NEXT YEAR ENROLLMENT AND NEXT GRADE is for students at your site? The report be-low will show you the students en-rolled at your site and what school they selected for the next school year.

  • OSecondary counselors and second-ary staff with scheduling responsi-bilities are invited to attend SYNERGY COURSE REQUESTS TRAINING on Tuesday, Jan. 21 from 8am-12pm or Friday, Jan. 24 from 8am-12pm. The last hour of both trainings will cover Synergy’s online course request tool through StudentVUE. Only those schools that plan to utilize this feature will need to stay.
  • You can view and export all SYNERGY REPORTS as pdf, html, csv, rich text, or Excel files. Click on the sort/output tab and make your selection.

  • On December 3rd, a SYNERGY UPDATE was installed that fixes the Google Classroom sync. Questions? Contact the CallCenter or visit the Teachers Lounge.
  • Click here for a link to the Teacher’s Lounge, where you will find one document with all of the Synergy Spotlight editions. HOT TIP: Use CTRL + F to search the document using a keyword.
  • Synergy Spotlights will be published December 16th and then not again until January 14th. Have a safe and relaxing winter break!
 

25 NOVEMBER 2019

Synergy has recently modified their Continuous Enhancement (CE) schedule. Rather than releasing major system upgrades twice a year, new updates will be scheduled annually for early March. For MSBSD, that means we our next major upgrade will be to SYNERGY V. 2021 IN MARCH of this school year. Periodic enhancements to fix issues (much like updating an app on your smartphone) will continue as needed.
 
Edupoint will be installing regularly scheduled SERVER UPDATES on Tuesday, November 26th, starting at 7:00pm. The outage will last until all necessary updates have been success-fully applied and will not extend past 1:00am on Wednesday, November 27th. You may experience times of no or sluggish response during this maintenance window. Questions? Contact the CallCenter at 761-HELP.

Make sure GOOGLE CHROME is your browser of choice when working in Synergy!
 
The first trouble shooting step when you run into a Synergy error is to CLEAR YOUR CACHE, which is the In-ternet data stored in Google Chrome. Here’s how::
  1. Click the Chrome menu icon in the top left corner, which appears as three horizontal bars.
  2. Click More Tools.
  3. Click Clear Browsing Data.
Alternatively, press the Ctrl + Shift + Del keys on your keyboard together.

  • SYNERGY VERSION 2020 IS NOW LIVE! This upgrade aligns our system with the most recent Synergy release and puts us on-track for the normal release and upgrade schedule.FUTURE UPGRADES INCLUDE:
    • Continuous Enhancements (CEs) are available bi-annually in December and July. This December, we will upgrade to version 2020.01.
    • “One-off” Releases will be applied to our system the second Friday of every month. These minor updates resolve issues between CEs.

  • The countdown is on! On Monday, November 11, MSBSD will UPDATE SYNERGY TO VERSION 2020, allowing the District to have access to some key fixes and new functionality. This system update is akin to cell phone or app updates.
  • Thank you for providing feedback on the SYNERGY STAFF SURVEY. We are evaluating the results and will address your responses soon.
  • An OPTIONAL COUNSELOR TRAINING will be held on Monday, Nov. 11th from 11:30am-2:45pm in the DTC. This training will include a high level review of grade book, attendance, and course history.

  • The countdown is on! In two weeks, on Monday, November 11, MSBSD will UPDATE SYNERGY TO VERSION 2020, allowing the District to have access to some key fixes and new functionality.
 

21 OCTOBER 2019

  • On November 11, MSBSD will UPDATE SYNERGY TO VERSION 2020. This up-grade allows us to take advantage of several key fixes and increased func-tionality. There are some visual chang-es, as well. More information about the upgrade will be available in the com-ing weeks.
  • In v.2020, ADDED FUNCTIONALITY will allow for promotion and demotion for major and minor discipline incidents.
  • ESY WILL BE HELD JUNE 23-JULY 16, 2020 (Tuesday/Wednesday/Thursday). The location is to be determined. ESY service minutes equal 450 minutes per week for students who attend a half day session all 3 days of the week.

  • Beginning today (Monday, Oct. 7th), the COMMENT CODE IN TVUE for students absent for an assignment are marked “A” (not AB); missing assign-ments are marked “M” (not MI).
  • The ENROLLMENT COUNT PERIOD ends Friday, Oct. 25th. Review enroll-ment numbers in Synergy throughout the count period. Students with 10 consecutive absences should be dropped, excluding those with admin-istrator approval. Synergy has a report that identifies students at or near 10 days of consecutive absences: PAD Tree > Synergy SIS > Attendance > Reports Daily > List > ATD402 – Daily Attendance List.

  • If notes on the Student Conference screen are incomplete or cut off, an Excel file with SchoolMAX notes relating to legal/custodial documents (screen CE220) was uploaded to SHARE (L:) > DISTRICT_SHARE > DST_SECRETARIES_READ_ONLY.
  • TeacherVUE Attendance (Secondary) All secondary sites were adjusted so teachers only have these attendance options: Excused Tardy, Unexcused Tardy, Unexcused Absence.
  • A Synergy update was completed on 9/17 that addressed the ability for Administrators/Discipline Secretaries to enter Minor Incidents (MTSS > RTI Workflow > Add Incident > Minor).
  • Pop-up announcements in Synergy have valuable information; read them thoroughly!

  • MSBSD & Edupoint recommend GOOGLE CHROME as your default Synergy browser.
  • Your site’s DFR (DIGITAL FIRST RESPONDER) should be your first con-tact for Synergy help. Their on-site presence and knowledge can help you navigate issues as they arise.
  • Experiencing PERFORMANCE ISSUES OR RIGHTS ISSUES? Try deleting your Google Chrome browsing history, closing the browser, and re-opening it. This will “reset” Synergy and get you back on track.
  • If a counselor needs to ADD/DROP A STUDENT in a District-wide CTE class, contact Linn Hill.

SYNERGY ANALYTICS is Synergy’s robust reporting module that provides real-time reports and data dashboards. Essentially, any data that exists in Synergy (such as Demographics, Discipline, Grades, Attendance, etc.) can be included and displayed in a Synergy Analytics Dashboard. The District received training on this module in November and is now ready to wel-come feedback and design/layout ideas. If you have feedback on a layout or report requests/ideas, email your thoughts or design a dashboard and send it to Dina Henderson (Dina.Henderson@matsuk12.us) by December 20th. To run a report of students that CURRENTLY HAVE A D OR AN F, go to Synergy SIS > Grade Book > Admin Reports > Student Current Grade Report.
  1. Filter for the Grading Period you are interested in viewing
  2. Input the Grade you want to filter for in the white box under the Header: MARK and drag the MARK field to the grey box.
  3. To see both D and F grades at the same time, skip step 2 and just drag the MARK field to the grey box.
  4. To see more rows, expand the page size.
  5. To export results to Excel or PDF, click the Export button.

Need to access GRADES AND ASSIGNMENT DETAIL for courses a student is cur-rently taking? From the PAD tree, click Synergy SIS > Grade Book > Student Grade Book. Input the student’s ID or last name and click “Find.” Above the “Student Grades” table, click "Open StudentVUE as Student.” In the new window that opens, select "Grade Book" from the left navigation bar. Click on the name of the course for further assignment detail.

  • Counselors with students who come to their building for a “course-share” class should contact THE DISTRICT-WIDE COUNSELOR (BECKY PIATT) FOR TRAINING on this process. Buildings must enter the concurrent enrollment of students coming in for a course-share class. Reminder: General course-share students are not a CTE District-Wide student.
  • See a discrepancy between section class sizes on reports and the number of students on class rosters? Try SYNC SECTION TOTALS. On the “Section” screen, click Menu > Synchronize Section Totals or Synchronize All Section Totals. This updates seat counts for one section or all sections (like SCSEATS in SchoolMax).

10 FEBRUARY 2020

The initial NEW YEAR ROLLOVER PROCESS has been completed. This has enrolled students in the next school year in Synergy. As students withdraw, transfer, and enroll in schools please follow the guidelines below to maintain accurate enroll-ment records for the next school year. This process is necessary to ensure that students are enrolled at the correct school and able to submit course requests for the next school year.

NEW/INCOMING STUDENT: Once the pending registration has been processed and the student is enrolled at your site, select the Next Grade Level and Next School fields on the Student screen > Other Info tab. IT will run a daily process that updates the next year/school of enrollment based on what is entered in these fields. If no school is selected, the next year enrollment will be deleted and no next year enrollment will be created.

INACTIVATING/WITHDRAWING A STUDENT: If an inactivated student has an enrollment in 2020, choose “Delete Enrollment” for the Next Year Enrollment Action. This will delete the enrollment in the next/future school year.

STUDENT GROUPS in Synergy should be used for two primary purposes, as outlined below. Please see the guide for managing student groups available here for more information (via: Synergy > Support).
  1. Tracking student participation/eligibility for athletics/clubs
  2. Rostering for Special Education Case Managers, EL, MAP/Clever and Class Advisors

NOTE: All students in a building should NOT be assigned to a group as a means to give access in other systems or TVUE.

To see the NUMBER OF DAYS a single student or a group of students have been enrolled in your school:
  1. Go to the Synergy Quick Launch
  2. Type ATD414
  3. Follow the prompts
  4. Click print

If a student requires a NAME CHANGE IN SYNERGY, follow the instructions in the Registrar Procedural Manual (p.17). Multiple fields need to be changed and docu-mentation of the change must be uploaded to the student file. Be sure to change the student’s email address and ADID on the MSBSD tab as instructed; this will ensure the student’s Google access will not be interrupted. Not accurately re-cording the student name change will prohibit the student from being able to access programs such as StudentVue, updating scores from Google Classroom, and all perform all tasks in Clever.
 
MTSS has some changes coming with the new release for Google Classroom. For more information, please visit the Teachers Lounge or contact your MTSS trainer.
 
Follow the steps below to mark a student as BOUNDARY EXEMPT:
  1. Enter an asterisk in both the “Grade” field and “Resolved Race/Ethnicity” field. Click FIND
  2. From the Attendance Reason menu, select “Boundary Exempt”
  3. Select the Reason for Attendance date
  4. Click “Save”
To To see the students who reside outside of your school’s boundary:
  1. Select all schools except your own from the School of Residence field
  2. Click Find
  3. Students not residing within your site’s boundaries are included in the report.

The following report allows lists students enrolled at your site by GRADE LEVEL AND ETHNICITY. To start, navigate to the Student Screen > Demographics tab.
  1. Enter an asterisk in both the “Grade” field and “Resolved Race/Ethnicity” field. Click FIND
  2. Data in the Results Win-dow can be sorted and exported to PDF or Excel
To EXCLUDE STUDENTS FROM CLASS RANK, start by navigating to the Student Screen > Other Info tab.
  1. Scroll down to Graduation Information > Diploma Type
  2. Select “Exclude from Rank” and click SAVE
  3. After marking all students who should be excluded, navigate to the Update GPA screen.
  4. Select the grade levels to be updated.
  5. Under Class Rank Exclu-sions, check the “Exclude from Rank” box.
  6. Click “Update GPA.” This will update the class rank for all students.

STU803: STUDENT HOUSEHOLD LABELS can used to create labels for mailing information to students and parents. Go to Synergy SIS > Student > Reports > Labels > STU803: Student Household Labels to get started.
  1. Filter the report by Household Type or Section ID.
  2. The Show Student Name option will display the student’s name.
  3. Select Educational Rights from the Parent Relations box to print labels for parents/guardians accord-ing to their FERPA rights.
  4. Click Print.
 
Per school request, ISS and OSS have been added to the calculation for attendance totals and excused tardies. Therefore, ALL ABSENCES AND ALL TARDY INFOR-MATION now print on report cards.
 
Running the UPDATE ABSENCES AND TARDIES PROCESS only updates absences/tardy information that occurred during the grading period range for which the process is being run. For example: If you are running the Update Absences Pro-cess for Quarter 1, only Absence/Tardy information from dates 08/15/2019 to 10/16/2019 will be calculated in report card totals.

  1. A comprehensive guide and checklist for PRINTING BOTH ABC & SARC REPORT CARDS is available here . Please remember to complete ALL steps outlined in the checklist for printing ABC and SARC report cards.
  2. High School Report Card Reminder: Include concurrent courses on student report cards by selecting the “SHOW CONCURRENT” option on the GRD201 REPORT. Without making this selection, District-wide CTE courses will not display on re-port cards, meaning students cannot easily prove their eligibility for sports

  1. Navigate to the Student Notifications Screen and enter “Find” mode
  2. The NOTIFICATIONS REPORT displays students at your site with notifications/alerts in Synergy. Here’s how to run it:
    1. Navigate to the Student Notifications Screen and enter “Find” mode
    2. Put an asterisk (*) in the each of these fields:
      • Begin Date
      • Notification
      • Comment
      • Detail
      • End Date
    3. Click “Find.” The Find Result window will open. Filter to view certain alerts such as Parent Restriction, Custody Paperwork, IEPs, 504 Plan, Medical Alert, etc. Print this report to PDF, Excel, etc. if necessary.
     
    The STUDENT CREDIT CHECK REPORT displays a list of students and their total number of credits (both attempted and completed). Use this report to review students who are behind in credit totals.

    Instructions for UPDATING GRADES for an individual student and POSTING THE GRADES to the student’s transcript are available here on the KnowledgeBase. This is a two-step process; both steps must be complete for the grades to be updated and posted.
     
    Any attendance submitted via PVUE can be seen and processed in the PARENT SUBMITTED ATTENDANCE screen.
     
    On the Grading Setup screen, the CURRENT GRADING PERIOD field directly controls 2 things:
    • The grading period that teachers are focused to in TeacherVUE Grade Book
    • The grading period that is available to run the process: Update Grade (by school or student)

    • When a student is Withdrawn/Inactivated, select “Drop classes on Inactivation” under Advanced Options to drop the student’s classes (see screenshot). This step is required when inactivating a student. If this is not done, the student will continue to show as active in the teacher’s gradebook.Inactivating Students
    • ParentVUE updates can be reviewed and accepted on the Review PVUE Updates screen. The PVUE Updates tab displays the date, time, and requester. For each change, select “Accept” or “Reject.” If rejecting, enter a reason for rejecting the change. Click “Save” and process the updates.

    PERMISSIONS REPORTS in Synergy allow you to check a student’s Internet, GSuite, Survey, media release, and other permissions. To run the report:

    1. Navigate to the Student Screen > MSBSD Tab
    2. Select your criteria and click FIND
    3. A results window opens with all results
    4. Choose the output type; click PRINT

    After 10 CONSECUTIVE ABSENCES, students should be dropped from enrollment. To pull an absences report:

    1. Go to Attendance > Reports Daily > List > ATD402—Daily Attendance List
    2. Under “AttendanceConditions”:
      1. Enter 10 in theMinimum Occurrences field
      2. Check Continuous Absences
      3. Enter .75 in the next field
    3. Under the Sort/Output Tab, select the file format; click PRINT.

SERVICE MINUTE CALCULATIONS are working gain. “Wake up” the page by doing the following:

  • Make a small change in special ed services, related service minutes (as applicable) and general ed minutes. Save.
  • Go back and readjust the minutes to what you want them to be and it will recalculate the service minutes.
Be on the lookout for emails detailing the EXIT PROCESS AND HIGHLIGHTS from our recent State Compliance Review.

When IEP AND/OR ESER IS FINALIZED, only IEPs will display in ParentVUE. Print and provide parents with copies of the ESER, Written Notice, Progress Reports, and other documents that were drafted or developed at the meeting.
 
Reminder: All ANNUAL REVIEWS that are not part of an ESER results meeting should be completed in the Annual Review process, not the Re-Eval process.
  • If you are holding an Annual Review and signing consent at that meeting, a Consent for Eval is in the Annual Review process.
  • Don’t start the Re-Eval process if you need to hold an Annual Review before you will have completed the ESER. Do your annual in the Annual Review Pro-cess, then move to the Re-eval Process for your referral and ESER.

You can ACCESS STUDENT INFO (including grades, attendance, and schedule) even if they aren't in your class. Here’s how:
  • Go to Synergy > Grade Book > Student Grade Book
  • Enter the student’s name. Click FIND. Click “Open StudentVUE on Student.”
  • From there, you can see attendance, grades, etc. NOTE: This is the Stu-dentVUE. It is informational only!
To find finalized documents, click HISTORICAL DOCUMENTS: People added to the TEAM TAB are those who are providing services to the stu-dent (i.e., Special Ed Teacher, Speech Pathologist, OT, PT, etc.). General Ed teach-ers, principals, and psychologists do not need to be listed on this Team tab.

Quarter 1 ends on October 16th. Directions for completing PROGRESS REPORTS can be accessed via this link. Some tips and reminders:
  • Goals are included in the Progress Report, but are locked for Progress and Comment.
  • If your goal category says Conversion, then you will need to complete the progress in SE then print the progress report and write in objective 1 as it is missing from the IEP. Your Record Specialist can upload the progress note and a copy will need to be sent home to the parent.
  • Progress Notes with goals that do not say “Conversion” do not need to be printed quarterly, unless parent requests. These are available on ParentVue.
  • Progress should be reported, saved, and made historic prior to the annual review being drafted.
  • Student Support does not need a copy of the Progress Report at the Annual Review. Case Managers may keep a copy in their working file if desired.
In order to meet the need for CASE MANAGER ACCESS to rosters in MAP and various student data in TVUE, please utilize the Groups feature in Synergy. The groups identified for use are labeled: Roster01-Roster15 and titled: SSS Roster. Groups are created and maintained by front office staff. CHANGING GOAL CATEGORY IN AN IEP FROM “CONVERSION”: If you aren’t changing goal/objective information and are finalizing an IEP, follow these steps:
  1. Copy & paste the current goals/objectives in SE into a Word document
  2. Add new goals within the SE IEP
  3. Copy & paste current goals/objectives back to SE under the new goal category that reflects the student’s eligible area of service
Contact your Records Specialist, Record Tech, or an SER for more assistance.
 
Please hold ANNUAL REVIEW within the Annual Process, not in the Evaluation Process. If your annual review will come after an evaluation is completed, then you can use the IEP within the Evaluation Process.

Need help? See a Special Ed Responder (SER) at one of the weekly open work sessions. These sessions are not mandatory, but they are an opportunity to receive individual help. Sign up for a session in Frontline. Sessions are held:

  • Tuesdays at CMS, from 3:00-4:00pm and 4:30-5:30pm
  • Wednesdays at WMS, from 3:00-4:00pm and 4:30-5:30pm

You can also contact your Record Technician who will help coordinate in-person help at your school.

Please pay attention to the notes below regarding SARC SCORING IN GRADE BOOK:
  • STANDARDS should be scored in Standards-Based grading on every assignment. Scores should not be pushed over from the Assignment column to the Standards column because standards should be scored individually and an assignment typically covers more than one standard.
  • Synergy does allow scores to be entered in the Assignment column. However, they will not post to the final Report Card and could be misleading to parents.
  • If you would like to see the scores for your class, go to the “STRAND” or “STANDARD” view, as shown below:  

Teachers using GenesisGrading 1-4 OVERALL GRADE TYPE in gradebook: You will no longer see a grade percentage based on a 1-100 scale. You will see a grade based on a 1-4 scale.

Use the following guidelines to SET UP YOUR GRADE BOOK SETTINGS and Create/Grade Assignments for Standards-Based Reporting for Quarter 3:
  1. Always update your attendance page when you are notified of new students being added to your class.
  2. Check your FOCUS to ensure you are in the correct grading quarter.
  3. Go to Grade Book > Grade Book Setup > Class Settings

  4. Attach at least one standard to each assignment you create:  
  5. When grading assignments, remember to grade the standard

As of December 2nd, GOOGLE CLASSROOM is properly syncing with Synergy Gradebook. Please pay special attention to assignments that may have been entered prior to December 2nd. If these assignments did not sync correctly, you will need to make adjustments in Synergy Gradebook setup and Class Settings. Click here for a link to directions in the Teacher’s Lounge.

If a student requires a NAME CHANGE IN SYNERGY, follow the instructions in the Registrar Procedural Manual (p.17). Multiple fields need to be changed and docu-mentation of the change must be uploaded to the student file. Be sure to change the student’s email address and ADID on the MSBSD tab as instructed; this will ensure the student’s Google access will not be interrupted. Not accurately re-cording the student name change will prohibit the student from being able to access programs such as StudentVue, updating scores from Google Classroom, and all perform all tasks in Clever.

Last week, the District received reports of SYNERGY LOGIN ISSUES. Here are the facts and what we’re doing to fix the issue:
  1. Google changed the information passed to Synergy through the Google Classroom API. This generated an error in TeacherVUE/Grade Book and pre-vented Google Classroom syncs from occurring.
  2. Teachers using TeacherVUE/Gradebook with Google Classroom are affected.
  3. A Synergy update on Friday, Nov. 22 will correct this error.
  4. Until this update is released, the Google Classroom integration with Synergy has been temporarily disabled.
  5. More information has been posted in the TEACHER’S LOUNGE.

Students may be UNABLE TO LOG INTO STUDENTVUE for two possible reasons:
  1. Students have changed their pass-word and are either entering it incorrectly or cannot remember it. A DFR, the librarian, or secretary can manually change the student’s password.
  2. Students have not updated their pass-word for the year. On a Chromebook log-in screen, the student can select “Apps” > MSBSD Password Help > Option 1. Use the standard shown in the text box as the email address; “Old password” will be their current userID.
After each one of these processes the front office will have to unlock the stu-dent’s account in StudentVUE.

With the upgrade to v.2020, came several adjustments to DISCIPLINE. Two brief Skype sessions have been scheduled to review the Discipline process and the new enhancements. To receive the Skype link, sign up in Frontline. The primary adjustments to this module include:
  • The ability to input MINOR incidents in the Discipline Incident Module
  • The ability to Promote and Demote Incidents in the Incident Approval Queue
  • The use of ‘Templates’ on the Incidents screen
The STUDENT PROFILE allows you to see all student information in one place! To get there, type sp or Student Profile in your QuickLaunch; or go to Synergy SIS > Student > Student Profile. Choose a student as prompted and you’ll be able to view all attendance, discipline, enrollment, test history, course history, and more!
