Transportation Request Form

Overview:

The Transportation screen enables school staff and administrators to enter student transportation requests. The requests are then routed to the designated teacher, the transportation coordinator, and routing specialists in order to be completed and finalized. The administrative staff can easily monitor the process of a transportation request, modify, or delete it from the Transportation screen. Once finalized, the transportation information also appears on the Student (and SE Student) screen(s).
 

Instructions:

  1. Access the Student Transportation screen (Synergy SIS > Student > Student Transportation)

  2. On the Transportation screen, click the Add button in the Open Transportation Requests section. A new row is created on the grid.

  3. Enter the request date and click Save. 
    When the row is added, a new Task is added on the teacher’s task bar.

  4. The teacher either clicks the link on their Task list or clicks the show details link on the Transportation tab to open the Transportation Details screen. The screen opens to the Teacher tab. The Transportation/Routing tab is in read only mode.
  5. The teacher enters information, and clicks Save.

  6. From the Menu drop down, the teacher selects the Edit Student Data option.

  7. The teacher checks the Teacher check box at the top of the Teacher tab, and clicks Save. The system forwards the request to the designated Transportation Coordinator by creating a new task on the Transportation Coordinator’s task bar.
  8. The Transportation Coordinator either clicks the link on the Task list or clicks the show details link on the Transportation tab to open the Transportation Details screen. The screen opens to the Teacher tab, the Transportation Coordinator verifies the data entered by the teacher, enters the start date in the Transportation / Routing tab, and clicks Save.
  9. From the Menu drop down, the Transportation Coordinator selects the Edit Student Data option.

  10. The Transportation Coordinator checks the Transportation check box and clicks Save. The system forwards the request to the designated Route Specialist via email and creates a new task on the Route Specialist’s task bar.
  11. The Route Specialist either clicks the link on the Task list or clicks the show details link on the Transportation tab to open the Transportation Details screen. The screen opens to the Teacher tab in read only mode. The Route Specialist verifies Teacher data, the Transportation Start Date, enters routing information, and clicks Save.
  12. From the Menu drop down, the Routing Specialist selects the Edit Student Data option. The Routing Specialist checks the Routing check box and clicks Save.
  13. The Task moves to Finalized Transportation Requests, where they will remain in View-Only format, accessed via Show Details play button link.
