Overview:

Many staff help in gathering data for reports mandated by the State. We will reference this KB (and a specific 'See More' section) when asking for assistance on state reports.

Timeline - May (Due before you leave for summer)

NOTES TO SAVE YOU WORK AND TIME:

Ensure that you are focused to ACTIVE students only. You do not need to enter data for students who were not enrolled on the last day of school.
DEFAULT VALUE FOR REASONS PROGRESSED: OTL has determined the most third grade students will be assigned the Reasons Progressed value 'Sufficient on alt screener'. You don't need to enter data for students with this value, you need only to enter 'Parent waiver' and 'Superintendent' values.

In Synergy:

Open the Student screen
Go to the Enrollment tab
Scroll down to Scroll down to the Enrollment Activity section. You will enter data in one of two fields (not both).
Non-Progression Reason. Enter data for ALL K-3 students who do NOT progress to the next grade. Choose the most appropriate reason for the student, depending on their situation.
1. Reading Deficiency (team/parents determined they should not progress due to a reading deficiency)
2. Social Emotional (team/parents determined they were not mature enough)
3. Extended absences (team/parents determined they had too many absences to progress)
4. Parent Request (use this code if the team does not agree with progression, but parents are requesting it anyway)
5. Principal discretion (use this code when the team feels the student should not progress but the parent has not been communicative or refuses to choose)
Reasons Progressed. Enter data for Grade 3 students only. Choose the most appropriate reason for the student, depending on their situation.
1. Parent Waiver (third graders who were on an IRIP all year and parents signed a waiver to allow them to progress)
2. Proficient on screener (these students progress because they were at benchmark on the spring screener)
3. Principal (all other third graders who are progressing but did not need a parent waiver and were not proficient on the spring screener)

WBL Entry (Carl Perkins)See More

Timeline - After each Semester term you will enter WBL scores for your courses (Both semesters are due before you leave for summer)

NOTES TO SAVE YOU WORK AND TIME:

Default Code - Perkins courses are set to report Career Prep (1) for all students. If a student also earns Career Training (2) you will enter Level 3 to signify that they earned both. Therefore you only need to enter Level 3 scores.
Here is information provided by Virginia McGehee from your work session in May 2023. Thanks for your feedback - let us know if anything here can be updated!

Students with more than one Perkins funded course: We discovered if a student was in a culinary class and also in Business their entire WBL record would show up for the student. The group's initial response was of they are already recorded. I had to let them know, it was recorded for culinary, but your class is a different pathway/program they still needed to record the WBL experience for that student in their class.
The Date Range and S1 vs. S2 Students who are in yearlong classes or are the same 1^st and 2^nd semester.
- We discovered if we set the date range for the selected WBL from Start of school in August - end of school in May it would record in 1^st and 2^nd semester.
- We discovered If we had students that were different 1^st and 2^nd semester we had to go back and change the focus to 1^st semester, select that particular class, and then set the appropriate date range (Aug - Dec. or Jan - May). If we did not do this the WBL would only be captured for 2^nd semester.

In TeacherVUE:

Choose the class you need to enter scores for.
Under Home - Choose 'Student Work-Based Learning'
You should see your eligible students. Click on the '+ Add Program' button.
Click on each student you want to assign a specific score/program/date. You'll see that these students remain grey (the last student you choose may be blue). Once you've chosen all students who will get the same score you can assign the Program Name (1,2,3), CTE Program, and the date.
You should see the values you entered in the original view now.

If you need to edit a score you can email your CTE contact or CallCenter@matsuk12.us and we can make the adjustment. Be sure to include the information in CAPS within your email.

RPC Entry (Carl Perkins)See More

Timeline - After each Semester term you will enter RPC assessments for your courses (Both semesters are due before you leave for summer)

NOTES:

When the state removes a RPC certification we rename it with 'Z-ARCH' at the beginning of the name. This sorts it to the bottom of a list so you will know not to use it.
If you don't see a list of students populate in step 3 remember to CLEAR YOUR BROWSER CACHE.

Log into TeacherVUE and choose the class you need to enter scores for. You will enter the test date and the pass status for those students who passed an RPC for a course.

Choose Test Score Entry under the Assessment Tab.
If you know the name of the RPC (test certification) enter it in the search (image 1). You can also enter an * to get all possible RPC to choose from (image 2).
You'll see a list of students in that course. You may have to adjust the term code to get all the students enrolled at that time. (S1 or S2 should get all students for that term). Click Add/Edit and choose the date for the test/test entry.
Enter "Pass" for those students who have passed this RPC.

Report Card to the Public (RCTP)See More

NOTES:

In Synergy use the Report Card Data Collection screen to enter data.
Make sure you are focused to the correct year. If you are entering data in fall make sure the screen is green (focused to previous year).
Are all fields required?
Will the just copy and paste the comments from their spreadsheet into question 10?

Migrant Ed Course History

Navigate to Synergy SIS > AK > State Reporting.
Select Warning under Process Log Verbosity.
Select Result File Type. Use CSV(default).
Select Create Validation Error Report, if applicable.
Select Show Column Headers, if applicable.
Select Migrant Ed Course History from the Extracts drop down.
Select As of Date.
Check Add Student ID.
Select Filters if desired.
Select Create.
The file will save to your downloads or open in a browser window, depending on your browser settings.

Migrant Ed Summer Enrollment & Withdrawal

Navigate to Synergy SIS > AK > State Reporting.
Select Warning under Process Log Verbosity.
Select Result File Type. Use CSV(default).
Select Create Validation Error Report, if applicable.
Select Show Column Headers, if applicable.
Select Migrant Ed Summer Enrollment and Withdrawal from the Extracts drop down.
Select Filters if desired.
Select Create.
The file will save to your downloads or open in a browser window, depending on your browser settings.

Select Create.
