Overview:
This will show you how to:
- Compress a large pdf file
- Combine multiple PDF documents into one
- Reordering, deleting, extracting, rotating or replacing pages and spitting the document.

Compressing PDF documents
You may need to reduce the size of a pdf in order to upload it or meet email attachment restrictions. Click See More to find out how.
If your pdf has a lot of images you can sometimes just Print to PDF and that will flatted the images and reduce the size of your file. If the file is still too large here are two ways to compress the file; Reduce Size and PDF Optimizer.
Note - When you print or save the file, assign it a new name so that you don't overwrite the original pdf, just in case compression reduced the quality of the document more than you intend.
Reduce Size
- Open the PDF in Adobe Acrobat Pro.
- Choose File > Save As Other > Reduced Size PDF.
- You can leave the default of Retain Existing or "Make Compatible with". Click OK
- Save the file with a new name and compare the size of the files.
PDF Optimizer - If the file is still too large after reducing size
- Open the PDF in Adobe Acrobat Pro.
- Choose File > Save As Other > Optimized PDF.
- Go to Settings and select Custom, and change the Downsample to 75 ppi for both Color and Grayscale Images. That should substantially reduce file size.
- After reducing file save, open the new smaller file, and review the content to make sure formatting has not been compromised. Occasionally, reducing file size might alter some of the layout, format, or images.
Combining PDF documents
Need to combine the contents of multiple pdf documents?
- Have the pdfs you want to combine in the same location.
- Select all of them by dragging your cursor around them or selecting them individually while holding down the Ctrl (Control) key.
- Right click and choose "Combine files in Acrobat"
- Acrobat will open and you should see the files in the content area.
- Drag the docs to reorder
- Drag new files in to add additional pages or use the Add Files button. (You can add images or Word docs and they'll convert to pdf)
- Remove files using the trash can Remove button
- Click the Combine button to complete the process.
- Once combined you will see a Binder1.pdf. Save this and choose a name for the file.
Organizing Pages Tool
You can also use the Organizing Pages Tool to insert additional files into your pdf. Other options in this tool include Delete, Extract, Replace, Split, Rotate and reorder.
- Open the PDF
- Using the Tools Tab or the Tools menu at the right of your document choose Organize Pages. If the menu is collapsed use the triangle to open it.
- You'll see a similar content area, you can drag to sort, or drag new files into the pdf here.
- Rotate or delete by hovering over the page, or selecting multiple pages and using the rotate or trash icons.
- Extracting allows you to select pages to extract as a separate document. You can choose to delete pages from this document after extract or keep them. You can extract pages as separate files or as one file.
- Insert files from file, clipboard, scan, URL or a blank page. Choose the position of the file by page number.
- Replace any combination of pages with another file.
- Split the file by page number or file size.
