Lenel Access Request

Overview:

See Badge Matrix, below, for staff access policy. Access is based on job role in Munis and is automated for most staff who only need access to their main assignment. This service is to request:

  1. Extended Employee access to get additional access to their building, such as Admin access, or access to additional buildings. Do not use for COCR contracts, even for regular staff.
  2. Building Sub access
  3. COCR staff: COCR staff will get admin access (ability to unlock for the public) unless otherwise requested.
  4. Contractors: This will get the user a generic badge to use short term. The user must return this badge or be charged $15.
  5. Lost badge or Stopped working: In addition to requesting this service you will need to pay the $15 lost badge fee using the following link https://www.schoolpay.com/link/districtbadgefee.
Be sure staff member has a badge before requesting as the access is assigned to the badge.  
COCR - Must complete co-curricular paperwork with HR prior request. COCR do not get all year access.

Request Process:

  • Select Request Service from the menu on the right.
  • Fill out the form with as much information as you can provide. The following is required:
    • Employee ID, first and last name of COCR staff.
    • Choose the activity from the drop down menu.
    • If the COCR is a coach for a sport, they will get access during that sport only.
      • The season access dates are as follows
        • Fall: July 1st - Oct 31st
        • Winter: September 1st - February 28th
        • Spring: January 1st - June 30th
    • If additional access is needed for other building staff, select extended employee access and specify the activity and access dates. If no dates are included, access will be for one month.
More detail is appreciated and allows for faster resolution.

MSBSD BADGE MATRIX

Regular Access Level can enter secured building and disarm/arm the alarm
Admin Access Level can both enter and disarm/arm; and they can unlock the main door for the public

AUTOMATED ACCESS FOR REGULAR STAFF ENTERED IN MUNIS - staff will have access as once they get an activated badge and paperwork is completed with HR.

Single-site permanent MSBSD employees

Access to the employee’s assigned location designated in Munis. Access outside of Monday – Friday 6:00 AM – 5:00 PM will require the employee to disarm the location’s alarm. Cannot set the doors to an unlocked state.

Custodial, Facilities, IT, School Office Staff, and Warehouse fall into a different group.

Multi-site permanent MSBSD employees (i.e., itinerants)

Granted the same access level as single-site permanent employees. Access to other site locations is limited Monday – Friday 6:00 AM – 5:00 PM. OTL staff that support multi-sites need access requested beyond 6:00 AM – 5:00 PM.

Requires departmental coordination with IT to determine which sites staff have access to.

Custodial, Executive Group, Principal Group, and Safety & Security

Granted access to all sites and able to unlock sites.

 
Facilities, IT, Warehouse Granted access to all sites but unable to unlock sites.  

Contractors

Granted access to designated sites and must have a CONTEMP account created by IT.

CONTEMP accounts can be requested through the Knowledge Base.

Co-Curricular Staff Badge access is available only to paid Co-Curricular staff for the location designated in Munis. Granted the same access level as single-site permanent employees. To receive a badge, the school must submit a Co-Curricular Stipened Request in the Knowledge Base, and the coach must have completed all necessary hire paperwork with Human Resources. Badges will not be granted to coaches who have not completed the onboarding process with Human Resources. School volunteers do not receive badges.

Co-Curricular Staff (Volunteer)

Granted the same access level as single-site permanent employees. Volunteers that been vetted through AR1240 should receive access based on the site administrator’s discretion. Access is on an annual basis.

OPA, Larson Chiropractic, USS ANSEP instructors fall within this category. Volunteers must have a CONTEMP account created as well as an Additional Access Request entered in the Knowledge Base.
