Lenel Access Request

 

Overview:

See Badge Matrix, below, for staff access policy. Access is based on job role in Munis and is automated for most staff who only need access to their main assignment. This service is to request:

  1. Extended Employee access to get additional access to their building, such as Admin access, or access to additional buildings. Do not use for COCR contracts, even for regular staff.
  2. Building Sub access
  3. COCR staff: COCR staff will get admin access (ability to unlock for the public) unless otherwise requested.
  4. Contractors: Note, you will also need to request a CONTEMP account for these users so they can get a badge using the link in the table below.
  5. Lost badge or Stopped working: In addition to requesting this service you will need to pay the $15 lost badge fee using the following link https://www.schoolpay.com/link/districtbadgefee.

 

Be sure staff member has a badge before requesting as the access is assigned to the badge.  
COCR - Must complete co-curricular paperwork with HR prior request. Include the sport season for COCR staff, if it is not included access will be given for one month only. COCR do not get all year access.

 

MSBSD BADGE MATRIX

Regular Access Level can enter secured building and disarm/arm the alarm
Admin Access Level can both enter and disarm/arm; and they can unlock the main door for the public

GROUP ACCESS NOTES
AUTOMATED ACCESS FOR REGULAR STAFF ENTERED IN MUNIS - staff will have access as once they get an activated badge and paperwork is completed with HR.
Single-site permanent MSBSD employee (MSEA, CEA)
  • 24-7 Regular access to assigned Munis location
  • Access to all schools from 6am-5pm
Custodial, IT, Facilities and school office staff fall in a different group
OFFICE STAFF - Single-site permanent MSBSD employee (MSEA, CEA)
  • 24-7 Admin access to assigned Munis location
  • Access to all schools from 6am-5pm
 
Multi-site permanent MSBSD employees (i.e., itinerants)
  • 24-7 Regular access to assigned primary Munis location
  • Additional site access can be requested by SSS Supervisors/Admin
  • Access to all schools from 6am-5pm
Requires departmental coordination with IT to determine additional access.

COCR (Co-Curricular) Staff
  • 24-7 Admin access to designated site(s) as requested by school administration and entered into Munis by HR
  • COCR will get access for the season they are coaching only
  • School may request 24-7 Regular access 
Badges will not be granted to coaches who have not completed the necessary hiring documents. To receive a badge:
  • school must submit a co-curricular request
  • coach must complete paperwork in HR
Contractors
  • 24-7 Regular access to designated site(s) as requested by department administration
This service request will need to be entered so HR can approve access.

Admin must also request a CONTEMP account for the user using the Additional Access Request service request.

Volunteers
  • 24-7 Regular access to designated site(s) as approved by HR
  1. ​​​​​​The Lenel Access Request will be used for HR to approve access. Badges will not be granted to volunteers who have not completed the volunteer background check process with HR.
  2. The Additional Access Request service request is also needed so IT can create the volunteer CONTEMP account. IT will enter this ticket if HR approves access.

Request Process:

  • Select Request Service from the menu on the right.
  • Fill out the form with as much information as you can provide. The following is required:
    • Employee ID, first and last name of COCR staff.
    • Choose the activity from the drop down menu.
    • If the COCR is a coach for a sport, choose the season that the co-curricular will be working. If no season is included access will be for one month.
      • The season access dates are as follows
        • Fall: July 1st - Oct 31st
        • Winter: September 1st - February 28th
        • Spring: January 1st - June 30th
    • If additional access is needed for other building staff, select extended employee access and specify the activity and access dates. If no dates are included, access will be for one month.
