Duplicate Student

Overview:

The Online Registration in Synergy can sometimes cause Duplicate Student accounts to be created. When this happens, IT will need to assist with merging the duplicate student record into the record to keep.

This will direct your duplicate student issue to the correct location for quicker assistance.


Authorized Users:

All school Registrars who enroll students in Synergy.


Request Process:

  • Select Request Service from the menu on the right.
  • Fill out the required fields in the form, including any previous name the student may have had in the "Detailed Description" field.
When entering this Service Request, make sure the Student ID numbers are accurate, and the spelling of the first and last name is correct.

User Responsibilities:

Before Entering this Service Request:

  • In Synergy, confirm the accuracy of the date-of-birth and the spelling of the student's first, last, and middle names. These must match the Birth Certificate.

 

After Receiving the Closed Ticket Notification:

In Synergy, access the student documents for the enrolled student (which was kept) and read the Student Merge file with the most recent date (Student Screen>Documents Tab). This document will show you the Merge Log and a Student Profile for both student IDs. Use this document to determine if all of the most current information is added to the student we kept.

Pay close attention to these fields: Address and Mailing Address, email addresses, custodial information. Remember if you manually change an address you must validate.
