Project Expense Inquiry Balances to Excel
Use: Full Account List for Reconciliation, and Account Review
- In Munis, open Project Expense Inquiry
- Click the search icon at the top (magnifying glass), and enter your search criteria. To see all projects, leave all search fields blank.
- Click Accept
- Click Excel, which is located at the top of the screen.
- An Export Filter will open. You can select what project information you’d like to pull into Excel. Check the box for any information you’d like to see.
- Click Accept. *Note* The filter will save your preferences for future use.
- Common selections include:
- Excel will open with your Project data. From here, you can modify your spreadsheet as you’d like. Common modifications accounting uses:
- Create an Excel table
- Click any cell with data in it, and press CTRL and T at the same time. OR
- Click any cell with data in it, then in the ribbon, click Insert, Table.
- Change value type to accounting or number type to add a bracket or negative sign to your table.
- Click the headers of the columns you want to change (drag to change multiple columns at once.
- Right Click, and choose Format Cells (or, CTRL1)
- Select either Number, Currency or Accounting, to find a format that shows negatives with a negative or brackets.
- Hide unnecessary columns, don’t delete.
- Wrap Text in the header, to make headers more visible.
- Highlight the first row.
- Home – Wrap text
Reminder: This is an accounting software - Accounting amounts sometimes seem backwards. Revenue is negative. Expenses are positive.
Project Descriptions into Excel
Use: Shows types of accounts, compare with SSASR Manual
- In Munis, open Project Expense Inquiry
- Click the search icon at the top (magnifying glass), and enter your search criteria. To see all projects, leave all search fields blank.
- Click Accept
- Click Browse
- All projects will be presented in a tabled list. Scrolling right, you will see the project descriptions. If descriptions are missing, right click the header name, and select Description.
- Click Excel at the top
- Excel will open with your Project data. From here, you can modify your spreadsheet as you’d like. Common modifications accounting uses:
- Create an Excel table
- Click any cell with data in it, and press CTRL and T at the same time. OR
- Click any cell with data in it, then in the ribbon, click Insert, Table.
- Change value type to accounting or number type to add a bracket or negative sign to your table.

Project Detail to Excel
Use: Detail for Reconciliation
This is report is great for reconciliation. Solves the question… What has happened? Keywords/topics: project ledger reports; student activity reports; student activities, SSASR reports
- In Munis, open Project Expense Inquiry
- Click the search icon at the top (magnifying glass), and enter your search criteria. To see all projects, leave all search fields blank.
- Click Accept
- If you pulled all accounts, use the arrows at the bottom of the screen to flip through accounts.
- Header Screen
- Actual = actual revenue and expenses for the year. Revenue is negative, expense is positive.*NOTE this is for current year only, it does not include prior year.
- Encumbrances = POs, unpaid expense claims
- Requisitions = requisitions
- Inception to SOY = Start of Year Balance (Revenue is negative, expense is positive)
- Available = Current Available balance including all prior year spending, current year spending and encumbrances and requisitions. *NOTE – This section is just like a bank account, positive balance means you have money to spend. A negative balance means overdraft.
- You can see the GL Account default segments by clicking the GL Accounts tab.
- To see Account detail, click the orange folder in the Actual (Memo) row.
- Click Excel

- Click below the final value in your column and use the subtotal formula:
- =subtotal(9,CellFirst:CellLast)
- Click Enter

- Click one of the headers columns and select the information you’d like to see. There is not a lot of width on these reports, so it’s important to be selective.
- Re-order information by dragging headers across the top
- Sort information by clicking the header you’d like to sort by.
- Click PDF
- Drawback to this method is that the Project Account is not listed on the report.
