ArbiterGame User Guidelines

This guide will take you through the basics of ArbiterGame and cover features you might encounter in your daily use. When you first login your games page will be empty.  You will need to add your games. Be aware that when adding games it is possible to create duplicates. You will get a warning if you are going to double book a team or a site. However, that warning can be bypassed. If you get a warning make sure you understand why before you bypass it. We have also added an option to import games in mass. Those instructions are not included in this guide, but are available on the Support page. 

 

Adding Games

1.      Click “Create New”

2.      Select “New Game”

3.      Select your team from the “Match-up” drop down.  At this point, all team defaults will be set.

4.      Select your opponent, mark the game as home or away, and make any changes to the default settings.

5.      Now make your other setting for the game.  You can select a facility request (home team only), transportation, or officials (home team only).  You must select these options in order to display the appropriate icons on the schedule page.

6.      You will also have the option to “Publish” games. This will send your game info to ArbiterLive or MHSAA that will post the game information for the Public.

7.      Click “Create Game” at the bottom of the page, to return to the Games page.  If you select the “Create Game & New” option you will stay on the Add Game page with all of your current selections persisting and ready for the next game.

 

Note:  To be more efficient when adding games, try adding all home games for a team and then all of the away games using the “Create Game and New” option.  That way, you only have to change the opponent and date for most games.

 

Editing Games

Changes to games will create a Game Change request, meaning that your opponent must approve the change.  In most cases, your opponent will already be aware of the change and this simply notifies them of the change.  The changes that create a Game Change request are site (not sub-site), date, time, or game status.

To edit a game follow these steps:

1.      Click on the link for your team on the game;

2.      Make any changes that you need;

3.      Click “Save Game” at the bottom of the page. 

Notes:  You can only edit games that you have accepted and that do not have a pending game change request. You can however accept a game from the edit game screen or even revert a game change. If those are possibilities, they will show at the top of the edit game screen.

Publishing Games

You also have an option to publish your games. This feature will send game information to the ArbiterLive or MHSAA (currently this is the only 3rd party we are working with to make games public). This is where parent will go to see game info.  When you create a game you will have the option to set the game as published or not published. You can also publish and un-publish games from the Games List page by clicking the red or green icon below the game information.

 

Navigating the Games List

You will have a few views to choose from. List view will list all your games grouped by date and then by time. Month view will show you your games in a calendar view. Week view will show you each day in the week and lists games by time, and Day view will show you the whole day hour by hour.

List view has a few filters on the left hand side you can choose from to see just the games you want to look at. The games will be listed, and to the right of that four icons.  The first icon represents contract status, the second icon represents transportation status, the third icon (shaped like a pin) represents site status and the last icon represents the officials’ status.  

The color of the icons indicates the game’s status. Green indicates all tasks have been completed. Yellow means that another party needs to take action in order to complete and red means that you have something more to do in preparation for this game. 

Using the contract as an example, after entering a game the contract icon will be yellow, because your opponent needs to accept the contract.  However, when your opponent logs in, they would see it as red because they need to take action on the contract for that game.  Once your opponent accepts the contract then you both see it as green because both parties have accepted it.  If the game is edited the icon would revert back to yellow for you, and red for the opponent.

 

Both Home and Away teams can enter games. However, both teams must accept the game contract before it can be considered valid. For this reason you will occasionally have a new game on your schedule that has a red contract icon.  You can then accept or decline the game that has been proposed.

Managing Contracts

If your opponent adds a game before you then it will automatically show up on your games page. The contract for these games will be red until you accept the game. Click on the red contract icon for the game and confirm that the settings for the game are correct.  If they are not correct, you can call your opponent’s AD and they can make the change.  You can also decline the game if it was entered in error.  If everything is correct then you can accept the game, which will mark it as green on your schedule as well as your opponent’s. 

Once you have accepted the game you will need to click on the game to set up facilities, transportation, or officials for that game.  This is important for two reasons.  First, if you need an assigner to get officials for the game (if you are the home team this is how you send games to the assigner).  Second, until you set up what you need for the game the icons on the schedule page will remain dashes (indicating that it’s not needed for that game). 

Notes: When you enter a game you agree to the contract for that game.
                The contract icon will appear in red if your team is double booked. 

Tracking Transportation Requests

1.      From the games list find your game;

2.      Click the Bus icon;

3.      Click “Sent for Approval”.  This will turn the icon yellow to indicate that you have sent the request to the transportation officer. 

4.      Once you receive approval, click on the bus icon and click the request as approved to mark it green.

 

Tracking Facility Requests

In ArbiterGame you can track facility requests and site availability

1.      From the games list find your game;

2.      Click the Pin Point icon;

3.      Click “Sent for Approval”.  This will turn the icon yellow to indicate that you have sent the request to the facilities manager. 

4.      Once you receive approval, click on the Pin Point icon and click approved to mark it green.

Notes: The site pinpoint will appear in red if the site has been double booked or has not been sent.

 

Managing Officials Assignments

Some schools also assign officials to their games. When that is the case the Game will need to be marked “Assigned by School”

1.      Create a new home game (Assigning officials is only available to the home team)

2.      Under the “Officials” header, change “Assigned by” to Assigned by School

3.      Select the number of officials needed for the game. Description: 2.png

4.      Click “Create Game”

5.      You will now be back on the Games page. Click the officials Icon for the game

6.      The game will open and you will see slots for each official needed for the game

7.      Click “Assign” and select an official to assign to that game.

8.      Repeat step 7 for each position on the game

 

You can also add and remove positions from a game. To add a position to the game click the Officials icon and click the add position button. To remove one click the trash can icon next to it. You will be asked to confirm the removal. It will let you remove an assigned position. When you do, an unassigned email will be sent. Removing all officials from a game will result in it being changed to “no officials required”.

 

Note:  The officials icon will be yellow once you have assigned all officials or if you have an assigner getting the officials for you (since you’re waiting on someone else).  Regardless of how the officials are assigned, once all positions have been accepted the icon will turn green.

 

 

Filtering Games



On the left hand side, you can select options for filtering games.  If you select two items that are within the same area then all games in either option will appear.  For example, if you select softball and baseball under the sports area then you will get all softball and baseball games.  However, if you select an option from two different areas, then you will filter games that match both selections.  So from our previous example, if softball and baseball were already selected and I chose varsity, then I would see varsity softball and baseball games only.  To remove a filter option just click on it again.

After selecting your filter options the number of games that match the filter displays at the top of the screen.  By default, the filter is set to show you games in the next ten days.

 

Sorting Games


To sort the games in a different order, click on a sort option at the top of the page.  This will sort it by that option in ascending order.  If you want to sort it in descending order simply click on the same option again.

 

Coordinating games with an ArbiterOne Assigner

When a game is created in ArbiterOne using teams in ArbiterGame, the game will show up on your Schedule tab.  For both Home and Away Teams the contract will be red as neither of you have seen the game before.  In this case the Assigner will need to assign officials.  When this is the case the Officials Icon will be yellow.

You can click on the icon and see details about the officials working the game.

When all officials have accepted the game assignment the icon will turn green.

 

Additional Notes

Since not all schools will be using ArbiterGame, you will be able to mark that a contract has been taken care of outside of ArbiterGame. This enters your name as the person who accepted the contract.

If you make a change to a game that is being assigned in ArbiterOne, the Assigner will need to accept the change to make sure the officials know about it. To let you know if the Game Change has been accepted the Officials Icon will be yellow, even if the officials have accepted the game.

 

 

Practices and Events

You can also add Practices and Events to your schedule. To do this go to the Schedule tab and click the “Add New”. This will display a drop down.

Click on New Practice or New Other Event and you will be taken to the appropriate screen. From here, adding the information will be the same as adding a game with the exception that there will be no away team. Also Events has the option of naming the event. This will take the place of the sport and level on a game. Events
