How to create an event for your school
Note: Events transfer over from Arbiter based on the rooms entered and how they sync together. If an event is transferred over you can then edit it in Brightly. If you find they are not syncing please email: callcenter@matsuk12.us and let us know.
Create an Event
- After logging in be sure your focus is set to your school location at the top right.
- Use the Create an Event button, top left, Event Manger menu.
- Fill out the form, * indicates a required field.
- Event Name
- Summary
- Full Description is optional
- Location and Time - When you select the location, date, and time you are given the option to create a multiple-day option. NOTE: Sleep-overs are done by selecting 9 pm – midnight, there is a checkbox to select that event crosses int the next day. Use arrow to move to the next day. midnight – 9 am. You don’t have to put multiple days
- Multiple-Day Option When you click on the pencil icon, a pop-out screen will open. There are several options on this screen.
- You can select either Consecutive or non-consecutive days, the system will check for availability as you select the dates. Once you have the dates selected you can adjust the times for each individual date in the grid as needed. Save and this will take you back to the form.
- You can select whether or not to make the event visible to the public, and specify the date/time of the event.
- There are three options for which will determine how the event appears on the calendar
- Public: A public event will show on the public facing calendar to anyone, even if they are not logged in. Private (this will not be published to the community calendar but will block out the room)
- Private: A private event will be hidden from the general public. The event will only be visible to users with appropriate rights and privileges when they are logged into the site.
- Unlisted: An unlisted event will not show on the calendar. The time will still be booked, but only users who have access to the event URL will be able to view the details of the event
- Setup/Breakdown times - times can be added which will block out time, but won’t change your begin and end times for the event itself.
- Pictures & Attachments: Attach a file or image to the event, such as a marketing image or a program flyer. You can add multiple images and then click on the star icon to select the primary image that will show in the default listing of events. Click on the "T" icon to change the text that will appear when the mouse hovers over the image. This also provides descriptions for those using visually impaired assistance programs
- Categories & Keywords: Category: Choose a category for the event- this helps when searching for events. Keywords: keywords can be used to find the event when people are using the search option on the community calendar.
- Tasks: If custodial services are required for the event, you will need to add a task in the task section.
- Addition Information: You will be asked if Custodial services are required, if you added a task for this you will need to select yes. Facilities department will get a notification on the custodial tasks. You will also be asked if use of the kitchen is required for the event. If the kitchen is required, you will need to choose Kitchen as a room and select yes in this section, Nutrition Services will be notified of this request.
